Privacy Policy

Link Volunteer is a platform that has been designed and developed by DC Tech for the purpose of the storing and managing data required in the administration of a voluntary organisation.

By registering as a user of Link Volunteer, in broad terms, you agree as a user that we store that data and it is available for viewing by independently managed groups or hubs that the user is accepted into. By entering personal data you, the user consent to us storing it and making it available to registered groups. Data will not be sold or made available to any third party by means such as advertising by DC Tech, and we cannot and do not accept responsibility for the accuracy of the data held on the platform.

So far as it is reasonably practicable to do so, DC Tech ensure that any data is held securely by means including but not restricted to encryption, but we cannot accept responsibility for a breach of security or loss of data that is caused by a negligent act by a third party that could not reasonably have been foreseen by DC Tech. It is also the responsibility of the users of the platform to ensure that the security of data is maintained.

PRIVACY OF CLIENT AND END USER DATA

DC Tech cares about privacy. Link Volunteer is a platform designed and developed by DC Tech for the purpose of enabling its users to collect and use personal data, only as it might be needed, to facilitate the administration and delivery of products and/or services by a voluntary organisation.

Information held on the platform includes, but is not limited to, personal data such as: -
– Name
– Address
– Telephone number
– Email address
– Other data collected that could directly or indirectly identify you, another user or a client.

Our Privacy Policy is intended to describe to you how and what data may be collected, and how and why personal data is used. It also describes options provided by the platform for you to access, update or otherwise take control of your personal data, or the personal data of others that is held.

What information is collected?

Information is collected so that the platform can provide the best possible experience when delivering the products and services of the organisation. Much of what you likely consider personal data is collected directly from you, other users and clients when you create an account or add volunteers or clients to the platform;

Link Volunteer may also collect additional information when delivering its services to ensure optimal performance. These methods of collection may not be as obvious to you, so we wanted to highlight and explain below more about what these might be (as they vary from time to time) and how they work:

How we utilise information

It is the responsibility of the organisation and registered users of the Link Volunteer platform, and not DC Tech as the provider of the Link Volunteer platform, to ensure compliance with the General Data Protection Regulation (GDPR); a legal framework that sets guidelines for the collection and processing of personal information from individuals who live in the European Union (EU).

DC Tech strongly believes in both minimising the data collected and limiting its use and purpose only to that for which permission has been given, as is necessary to deliver the products and/or services of the organisation, and as might be required or permitted for legal compliance or other lawful purposes.

DC Tech will from time to time deliver, improve, update and enhance the facilities Link Volunteer provides to its users and the organisation. Link Volunteer enables its users to collect various information required to enable the organisation to deliver its products and/or its services. Link Volunteer utilises this information to:
– Improve and optimise the operation and performance of Link Volunteer
– Diagnose problems with and identify any security risks, errors, or necessary enhancements to the functionality of Link Volunteer
– Detect and prevent fraud and abuse of the organisation’s products, services and systems
– Collecting aggregate statistics about use of the organisation’s services
– Understand and analyse how you use Link Volunteer’s services and what products and services are most relevant to you.

Often, much of the data collected is aggregated, or statistical data about how individuals or clients receiving the organisation’s products or services, and is not linked to any personal data, but to the extent it is itself personal data, or is linked or linkable to personal data, it is treated accordingly.

Sharing with trusted third parties. personal data yours and/or other users and personal data may be shared with affiliated organisations within the Link Volunteer user group, with third parties which have been partnered to allow you to integrate their services into the services of Link Volunteer, and with trusted third party service providers as necessary for them to perform services on behalf of Link Volunteer , such as:
– Performing analysis of the organisations products and/or services and client demographics
– Communicating with you, such as by way of email or survey delivery
– User relationship management.

Compliance with legal, regulatory and law enforcement requests. DC Tech cooperates with government and law enforcement officials and private parties to enforce and comply with the law. We will disclose any information about you to government or law enforcement officials or private parties as DC Tech, in its discretion, believe necessary or appropriate to respond to claims and legal process (such as subpoena requests), to protect DC Tech’s property and rights, or the property and rights of a third party, to protect the safety of the public or any person, or to prevent or stop activity DC Tech considers to be illegal or unethical.

To the extent DC Tech is legally permitted to do so, we will take reasonable steps to notify you in the event that we are required to provide your personal information to third parties as part of legal process.

Website analytics. We use web analytics tools provided by service partners such as Google Analytics to collect information about how you interact with Link Volunteer, what operating system and web browser you use and network and IP information. Link Volunteer uses the information provided by these tools to improve its services.

Third-party websites. The user interface of Link Volunteer may contain links to third-party websites. DC Tech is not responsible for the privacy practices or the content of third-party sites. Please read the privacy policy of any website you visit.

Email tracking. If you use our service to register to receive communications via email then messages you receive may be trackable at an individual level, allowing us to determine, for example, opens and link clicks. This information is generally used to help assess the effectiveness of communications so that we can improve them and may occasionally be used to send relevant further communications in response to your actions (e.g. clicking a particular link) or inactions (e.g. not opening an email).

How you can access, update or delete your data

To easily access, view, update, delete or port your personal data (where available), or to update your subscription preferences, please sign into your account and use your account settings.

If you make a request to delete your personal data and that data is necessary for the products or services you accessed, the request will be honoured only to the extent it is no longer necessary for any products or services required for the legitimate business purposes or legal or contractual record keeping requirements of DC Tech.

How Link Volunteer secures, stores and retains your data

Link Volunteer follows generally accepted standards to store and protect the personal data it collects, both during transmission and once received and stored, including utilisation of encryption where appropriate.

Link Volunteer retains personal data only for as long as necessary to provide the products and services that have been requested, and thereafter for a variety of legitimate legal or business purposes. These might include retention periods:
– mandated by law, contract or similar obligations applicable to the business operations of the organisation utilising Link Volunteer ;
– for preserving, resolving, defending or enforcing legal/contractual rights; or
– needed to maintain adequate and accurate business and financial records.

Changes in our Privacy Policy.

DC Tech reserves the right to modify this Privacy Policy at any time. If DC Tech decides to change its Privacy Policy, it will post those changes to this Privacy Policy and any other places it deems appropriate, so that you are aware of what information is collected, how it is used, and under what circumstances, if any, it is disclosed. If DC Tech makes material changes to this Privacy Policy, it will notify you here, by email, or by means of a notice on its home page, at least thirty (30) days prior to the implementation of the changes.
